CLIENT SERVICES COORDINATOR Non-exempt, 32 hours
Organization: Reachout Women’s Center provides loving support, advocacy, and education for pre and post-natal women so they may choose life for their babies. Since our founding in 1973, Reachout
Women’s Center has been a stable and effective institution in the Tucson community providing pregnancy testing, ultrasounds and material assistance. All our services are free, and we rely solely on private donations.
Primary Function: The Client Services Coordinator is responsible for ensuring that all services provided by the center are systematic, organized and operate efficiently and in a clean environment. The Client Services Coordinator prepares the center functionality daily, so volunteers can carry out their shift in an effective and efficient manner. May be assigned other duties as directed, including but not limited to, support in other areas of the center to fully live out the mission of the RWC.
Essential Duties and Responsibilities:
  • Supports with implementation of policies and procedures in support of the RWC goals and objectives
  • Ongoing Recruitment, training, and retention of volunteers
  • Secures the placement of existing RWC volunteers in activities most useful for the operations of RWC
  • Record volunteer hour(s) database
  • Responsible for scheduling volunteers and ensures proper coverage
  • Publishes and distributes monthly volunteer calendars and provides procedural updates to volunteers
  • Assists the volunteers in their daily tasks and provides frequent updates for reporting purposes
  • Provide all the necessary information and tools to provide RWC services daily at the start of each shift
  • Responsible for communicating and ensuring all compliance standards of volunteers as set forth by the Diocese of Tucson
  • Coordinates and hosts local elementary, high school and college student volunteer groups
  • Responsible for volunteer recognition such as birthdays, holiday parties, potlucks, etc.
  • Prepare and maintain adequate front desk tools for each shift daily;
  • Tools include but not limited to 1.) sign in sheets and labels 2.) bilingual intake forms; 3.) bilingual pregnancy forms; 4.) material assistance forms; 5.) current resources guides
  • Conducts inventory on a bi-weekly basis and procurement of all essential office supplies as approved
  • Supports with incoming, sorting of mail and logs all incoming checks, currency, and coin(s)
  • Makes a copy of all itemized deposit slips and deposits all monies into the bank that enter the center daily
  • Participates in weekly staff and one on one meetings
  • On a monthly basis, conducts tours of the center for potential volunteers to promote recruitment
  • Assists and supports with all fundraising activities and events as directed
  • Initiates and coordinates clothing and diaper drives with parishes as needed;
  • Writes thank you notes to parish pastors AND parish coordinators within two weeks of receiving the items
Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.

Basic Qualifications:
  • A working knowledge of and a strong commitment to the mission of fostering lay leadership in the Catholic Church
  • Belief in the sanctity of life
  • Ability to maintain confidentiality
  • Demonstrates an ability to recognize, analyze and solve problems; a working knowledge of operational processes
  • Ability to prioritize workload to meet constantly changing volunteer schedules
  • Must be computer literate, ability to interact with client databases, and information technology including Microsoft Office software and/or Google
  • Excellent communications skills including written, verbal and counseling skills
  • Punctuality and ability to travel locally as required
  • Professional, clean and neat personal appearance
  • Flexible and adaptable
Required Education and Experience:
  • Bachelor’s degree and 3+ years’ experience with a non-profit organization in a similar role (OR), proven 7 years professional work experience equivalency
  • Demonstrated experience with technology and computer software skills
  • Planning, attention to detail and organization skills and abilities a must
  • Background and fingerprint clearance required
Preferred Skills and Experience:
  • Must have excellent human relations and interpersonal skills; must be a self-starter and be well
  • organized; must be a team player
  • Experience recruiting and retaining volunteers preferred
  • English and Spanish Speaking preferred
  • Experience in working with low-income and diverse populations in a similar environment
  • Ability to interact and collaborate with volunteers, clients, colleagues and parishes in the community
